Privacy policy

Last updated

This policy explains what Raikan, Inc. ("Raikan", "we", "us") collects, why, how it is handled, and your rights. We never sell personal information.

It covers the people we deal with directly: visitors to raikan.ai, prospective customers, and our customers and their team members who use the Raikan console.

Raikan also runs websites, chat and email for rental operators (our customers), and so handles information about the renters who contact them. For that information the operator decides what is collected and why, and Raikan processes it on the operator's behalf, as a processor or service provider. If you contacted a property through a website Raikan runs, the operator's privacy policy governs your information, and you should contact the operator first. The section "Renters who contact a property" below describes what Raikan does with that information.

What we collect and why

We collect only what we need to run Raikan.

  • Account and identity: your name, email address, company and role when you or your team sign up, so we can create and secure your account and contact you about it. Sign-in is handled by our authentication provider.
  • Property and business information: the properties, units, floor plans, prices, photos, documents and brand material you add or connect, so we can build your websites, campaigns and answers.
  • Connected systems: when you connect a property management system (such as Entrata), we read property, availability, pricing and lease data from it to keep your websites accurate and to tell you which leads became leases.
  • Advertising accounts: when you link a Google or Meta account, we read and manage the data described in "Google and Meta account data" below.
  • Usage and device data: IP address, browser and device type, pages visited and actions taken in the console, to secure the service, prevent abuse and fix problems. Some of it is collected through our product analytics, described in "Analytics and cookies on raikan.ai" below.
  • Correspondence: when you email us, we keep the message and your address so we have the history if you write again.
  • Billing: if you buy a paid plan, the billing contact and transaction records we need to invoice you. Payments are processed by Stripe; we do not store full card numbers.

Renters who contact a property

When a renter uses a website, chat or email Raikan runs for an operator, we process on the operator's behalf:

  • Contact details they give: name, email address and phone number, and the code we email to verify that address.
  • What they ask and say in chat or email, and the answers given.
  • What they are looking for, such as move-in date, budget, unit type or tour request.
  • How they arrived: the referring site, campaign and ad-click identifiers (such as gclid or fbclid), so the operator can see which channels produce leases.
  • A first-party cookie that keeps a chat going across visits for up to 90 days, a cookie that keeps a visitor in the same page experiment, and bot-protection checks. We do not fingerprint devices.

We use this information only to answer the person, deliver the lead to the operator, report results to the operator, and protect the service. Leads belong to the operator, are never shared with another operator, and are never sold.

Analytics and cookies on raikan.ai

We use PostHog, a product analytics service, on raikan.ai and in the Raikan console to understand how Raikan is used, find and fix errors, and improve the product. PostHog processes this data on our behalf, in the United States. It collects:

  • The pages you view, with the address of each page and of the page that referred you. We remove the query string and anything after a # from these addresses before they are sent, so search terms and similar details in a link are not collected.
  • Your browser, device type, screen size and IP address. PostHog uses the IP address to estimate your approximate location.
  • A random identifier, so visits from the same browser can be counted together. It is stored in a first-party cookie that expires after a year, and in your browser's local storage, where it stays until you clear it.
  • If you are signed in to the console: your Raikan user ID, email address, name and role, and a few actions we record on purpose, such as creating a site, inviting a team member, changing a team member's access or saving showing settings. These events carry the choices made (for example the role given), not the content you entered.
  • Error reports when something breaks in your browser, so we can fix it.

We do not record your screen or sessions, and we do not automatically capture what you click or type, or the text shown on the page. We do not use PostHog for advertising, and we do not sell this data.

PostHog does not run on the websites Raikan publishes for operators, so renters who visit a property's website are not tracked by it.

Clearing this site's cookies and stored data in your browser removes the identifier, but does not by itself stop pages being counted. To stop analytics entirely, use a browser or extension that blocks analytics requests; Raikan keeps working. To have analytics data about you deleted, email privacy@raikan.ai.

Google and Meta account data

A customer can link its Google Ads, Google Business Profile and Meta advertising accounts to Raikan. When it does, Raikan accesses those accounts only to do what the customer asked:

  • Create, edit, pause and budget campaigns, ads and listings for the customer's properties.
  • Read performance and spend data (impressions, clicks, calls, conversions and cost) to report results and cost per lease to the customer.
  • Send lead and lease conversions back to the customer's own Google or Meta account so the platform can measure and optimize the customer's campaigns.

Raikan does not sell this data, does not use it to advertise to anyone, does not use it to train general AI models, and does not share it with anyone except the service providers listed below that help us run Raikan, as required by law, or with the customer's direction. People at Raikan read it only with the customer's permission, for security, or to comply with law.

Raikan's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

Raikan reaches a linked account through its own manager or partner access, not with the customer's login, so it never holds the customer's password or access token. A customer can disconnect a linked account at any time from Raikan, or end Raikan's access on the platform: in Google Ads by removing Raikan as a manager (Admin, then Access and security, then Managers), in Google Business Profile by removing Raikan as a manager of the profile, and in Meta Business Suite by removing Raikan as a partner. When an account is disconnected, we end that access and stop using the account.

How we use AI

Raikan uses AI models to write and update websites and ads, and to answer renters' questions from the operator's own information. Content is sent to the model providers listed below only to produce those answers and pages. We do not use customer data or prospect conversations to train models for other customers, and we do not allow our model providers to train on it.

When we share information

We share information only in these cases:

  • Service providers that help us run Raikan, under contracts that limit their use of it: Vercel (application hosting and AI model gateway), Cloudflare (published websites, bot protection and file storage), Neon (database), WorkOS (sign-in), Resend (email), Voyage AI (search over your documents), Langfuse (AI quality monitoring), PostHog (product analytics and error reporting), DigitalOcean (AI request routing), and the US-hosted AI model providers we reach through Vercel's gateway (currently Baseten and DeepInfra).
  • At your direction: to the systems you connect, such as your property management system, CRM, or Google and Meta accounts, and to the people and inboxes you choose to receive leads.
  • When required by law: in response to a valid legal process. We tell affected customers before disclosing their data unless the law or an emergency prevents it.
  • To protect Raikan and others: to investigate fraud, abuse, security incidents or violations of our terms.
  • In a business transfer: if Raikan is acquired or merges, we will notify you before your information becomes subject to a different privacy policy.

We may use aggregated or de-identified information, which cannot reasonably identify you or an operator, to understand and improve Raikan.

Retention and deletion

We keep information for as long as we need it for the purposes above, or as the law requires. Customer content is kept while the account is active. When a customer closes its account, we delete its content, including the prospect data held for it, within 60 days, and from backups within a further 30 days.

Your rights

Wherever you live, you can ask us to:

  • tell you what personal information we hold about you and how we use it;
  • give you a copy of it;
  • correct it;
  • delete it, subject to legal limits;
  • restrict or object to how we use it.

Email privacy@raikan.ai to make a request. We will verify who you are before acting on it, and we will not treat you differently for using these rights. If you are a renter asking about information an operator collected through Raikan, we will pass your request to that operator, who decides how to answer it. You can also complain to your data protection authority.

Security

All traffic to and from Raikan is encrypted in transit. Data is stored with providers that encrypt it at rest. Access to customer data inside Raikan is limited to the staff who need it, and every staff access to a customer account is logged. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.

Where your data is stored

Raikan is operated in the United States, and information is stored and processed there. If you are outside the United States, your information will be transferred to the United States when you use Raikan.

Changes and questions

We may update this policy as Raikan changes or the law requires. When we make a significant change, we will update the date at the top of this page and notify customers by email.

Questions about this policy or your data: privacy@raikan.ai, or Raikan, Inc., 131 Continental Drive, Suite 305, Newark, DE 19713.
